IEA Student Application & Renewal

Before Applying

Before completing the IEA Student Application, parents/guardians/conservators should read the following:

Applications for students to participate in the IEA Program for the 2018-19 school year (Aug. 1, 2018–July 31, 2019) are now open. Applications must be received by the department by 3 p.m. CDT on March 30.  The department will not review applications that are received by the department after the deadline has passed.

Before completing the application, the department encourages applicants to complete the ‘Is my child eligible?’ interactive questionnaire to review the eligibility criteria.

Complete the application by following the instructions below. For more detailed instructions, please see the IEA Parent Handbook, and the How to Guides.

Application Instructions:

Submit the Aug. 1, 2018–July 31, 2019 Student Application  along with all required supporting documentation. The following documents MUST be submitted along with the signed application by 3 p.m. CDT on March 30. The application is not complete until all required documents have been submitted. Incomplete applications will not be reviewed.

  1. Copy of Parent/Legal Guardian's Valid Driver's License or Government Issued ID (non–expired)
  2. Copy of the student’s birth certificate or proof of legal guardianship (if the account holder’s name is not listed on the birth certificate)
  3. W-9 form - Complete the form with the account holder’s (e.g., parent’s) information by downloading the form posted on https://www.irs.gov/pub/irs-pdf/fw9.pdf.
  4. If the student moved to Tennessee on or after Aug. 2, 2017, you must also submit: Proof that the student has moved to Tennessee from another state on or after Aug. 2, 2017. Examples include: copy of out-of-state utility bill, rental agreement, property tax bill, affidavit from a landlord, driver’s license, or mortgage statement. Enrollment records from schools outside of Tennessee.

Complete applications and all supporting documentation must be received by the department by 3 p.m. CDT on March 30. Applications not received by the department by this deadline above will not be reviewed.

Please note the following:                                                                                                      

  • This application shall be completed by either a parent/guardian of the student or the student who has reached the age of majority. The individual completing this application will be the IEA account holder.
  • An IEA application must be submitted for each student. If a parent/guardian has more than one student who is applying to enroll in the IEA Program, the parent/guardian will need to submit one application per student.
  • There can ONLY be one applicant parent/guardian for each IEA account. Please keep in mind that the applicant parent/guardian will be required to sign all official documentation pertaining to the IEA.
  • Applicants are responsible for ensuring the accuracy of the information provided in the application. Any false statements or inaccurate information within the application will result in the denial of the student’s application.

Next Steps After Application is Submitted:

The department will review applications within 30 days. Upon reviewing the application, the department will determine whether the student is eligible to receive an IEA and will notify the applicant as to whether the application was approved or denied.

If the application is approved, the applicant must:

a)     Submit to the department the IEA Contract along with all required supporting documentation, including the Assurances Form, and FERPA Waiver, by following the instructions that the department will email to approved applicants in mid-July 2018. The completed IEA Contract must be received by the department by 3 p.m. CDT on July 20. Contracts not received by the department by this deadline will not be reviewed. If the department does not receive a complete contract by this deadline, the student will not be enrolled in the IEA Program for the 2018–19 school year.

b)     Before Aug. 1, inform the IEA school district liaison for the school district in which the student resides, and the school district the student is currently enrolled in, if applicable, that the student will be enrolling in the IEA Program. This must be done before Aug. 1 in order for the student to enroll in the IEA Program. Parents/guardians should contact the IEA liaison for their school district listed on the IEA web page. The department recommends that applicants notify school districts as soon as the application is approved, and retain a written copy of the notice. If the applicant does not notify the IEA school district liaison by Aug. 1, the student will not be enrolled in the IEA Program for the 2018–19 school year.

Complete renewal applications for students currently enrolled in the IEA Program for the Aug. 1, 2017–July 31, 2018 IEA term must be received by the department by 3 p.m. CDT on June 1 to renew a student’s enrollment in the IEA Program for the 2018-19 school year (Aug. 1, 2018–July 31, 2019).

To renew the student’s IEA enrollment for the 2018–19 school year, account holders must complete the following three steps by the deadlines:

  1. Submit the 2018-19 Student IEA Renewal Application. Complete renewal applications for students currently enrolled in the IEA Program must be received by the department by 3 p.m. CDT on June 1. The department will review applications within 30 days.
  2. Submit the IEA Contract along with all required supporting documentation, including the Assurances Form and FERPA Waiver by following the instructions that the department will email to account holders in mid-July 2018. Complete contracts for students currently enrolled in the IEA Program must be received by the department by 3 p.m. CDT on July 20.
  3. By Aug. 1, notify the IEA school district liaison for the district in which your student resides that the student will be enrolling in the IEA Program for the 2018–19 school year.

Applications and/or contracts not received by the department by the deadlines above will not be reviewed. If the department does not receive a complete renewal application and/or contract by the deadlines above, and/or if the account holder does not notify the IEA school district liaison by Aug. 1, the student will not be enrolled in the IEA Program for the 2018–19 school year, and the IEA account will be closed on Aug. 1, 2018.

Locating Your Student’s State ID

The student’s state ID can be found on the front page of his or her IEP.

The student state id number is located on the left side of the first page of the IEP. It will be a seven to nine digits.
